Intro to Ecolab KitchenIQ™ for Leaders

Welcome to your one stop shop Ecolab KitchenIQ™ guide! This is your central resource for understanding the ins and outs of the KitchenIQ app as a leader

What you have access to in KitchenIQ is determined by your permissions. If you do not know if you have access to a feature, ask a high-level leader in your restaurant

My Job: Home Screen

The Home Screen is the one place with all of the tools and information you need to do your job for the day

  1. The Scoreboard is your eagle-eye view of the store
    • View your teams, checklists, tasks, people, setups, infractions, disciplinary actions, and waste
  2. View your To-Dos
    • The To-Dos tile shows your assigned Checklists & Tasks for the day
  3. Stay up to date with the Activity Feed
    • Your Activity Feed is the hub for activities involving tasks, checklists, tokens, broadcasts, and infractions
  4. Redeem Rewards
    • From the Rewards tile in the bottom right of the Home Screen, you can see your restaurant's Rewards and redeem them

My Job: Team Dashboard

A day-part is a period of time that a leader is responsible for the operations of the restaurant. This can include leadership, setups, running breaks, and ensuring the completion of To-Dos

  1. See To-Dos that need to be completed
    • Most To-Dos should be auto-assigned out after creating Setups, but you can manually assign them from this tile. Also use this tile to see how your team is doing on completing their To-Dos
  2. View your Setups and Schedule
    • See Setups, and your full schedule. You can view the schedule as a full day roster or an hourly breakdown
  3. View and run your Breaks
    • Tap into Breaks to see the break list and start/complete breaks
  4. View Broadcasts
    • See what’s happening in your store with all recent broadcasts
  5. Leadership
    • See who’s leading the daypart and who’s currently in charge

Things to Know: Rewards

Your employees can earn Tokens to redeem for Rewards in your restaurant. Gamification and positive reinforcement will motivate your team!

  1. Complete Daily To-Dos
  2. Recognize your team
    • Send a Recognition to an employee who you feel is deserving and they receive tokens
  3. Send your Tokens
    • Send your Tokens to another employee as a thank you, just because, or to group together to redeem a top reward
    • From the Menu, find the Tokens button under the Send Menu and select the employee and how many Tokens you would like to send

The Send Tokens function in the Menu will send your personal Tokens to another employee. You can only send up to the number of Tokens you currently have


Things to Know: Sending Infractions

An Infraction is a broken rule in the restaurant (e.g. Late to shift, call out, improper phone usage, etc.). Documenting when rules are broken in your store ensures everyone is held to the same standard. Infraction points add up to Disciplinary Action conversations, which can be coaching or consequential, within a period of time such as quarterly or rolling 90 days.

  1. Navigate to the Send Menu and tap Infraction
    • This is at the top of the Menu screen
  2. Select the Date, Employee, and Infraction type
  3. Enter Notes
    • When applicable, enter notes for the Infraction. This will ensure the leaders in your store have all of the appropriate context when a Disciplinary Action needs to happen.
  4. Tap Assign
    • At this point the employee will receive a push notification that the Infraction was assigned

Infractions are submitted in a way that keeps the sender’s identity hidden from the employee receiving the infraction. Leadership can still see who submitted it, but the employee only sees the infraction itself—not who reported it.


Things to Know: Inviting Users

Invite users onto the app to ensure everyone in your operation is utilizing KitchenIQ

A user's login email is the same as their email in Payroll.

  1. Navigate to Menu > Employees > Tap the three dots
    • This will bring up the invite menu. There are a few options which we will explore below
  2. Invite from Payroll
    • This is how most employees will be invited. Search for and select the employee(s) you need to invite. Once all are selected, tap Send Invite
  3. Create User
    • Only to be used for anyone who needs access to your KitchenIQ but is not in HR Payroll. Enter the email, name, and phone number of the user and then tap Create and Invite
  4. Force a re-sync with HR Payroll
    • Navigate to Invite from HR Payroll. Tap the blue Sync with Payroll button to force a re-sync. HR Payroll and your scheduling platform automatically sync every Sunday

Things to Know: Devices and Languages

We use the devices you use in the restaurant (phone, tablet, desktop)! They do not look the same, each has their own functions

  1. Phone, Tablet, Desktop
    • Phone: The main hub, everything that needs to be done in KitchenIQ can be done from the phone
    • Tablet: Used for viewing/entering Waste and viewing the Team Dashboard
    • Desktop: Used for reporting, editing the Planner, editing/building Checklists, and viewing subscription information
  2. iPhone and Android
    • We are available on iOS and the Google Play Store
  3. English and Spanish
    • We are available in English and Spanish. When logging in for the first time you will be prompted to select a language. This can be changed anytime in the User's Profile

  3. Submit a Support Ticket in the app
    • Navigate to Menu > Need Help? (top right corner)
    • Tap Send Support Ticket

Communication: Scoreboard

Your eagle-eye view of the store. Are you a closing leader who wants to know what's been going on? Or maybe a leader who is not at the store but wants to know what's happening? The Scoreboard is the #1 tool for leaders.

What you see on the Scoreboard is determined by your permissions.

  1. The Scoreboard lives at the top of the Home Screen
  2. What can I see on the Scoreboard?
    • Teams
    • Checklists & Tasks
    • Setups
    • Accountability
    • Waste

Communication: Broadcasts

See important updates and leadership announcements for your store.

  1. Broadcasts can be found on the Home Screen in the Activity Feed or in the Team Dashboard
  2. Share important updates
    • Send announcements to your team with messages, images, or links
  3. Target your exact audience
    • Choose exactly who receives each broadcast by selecting specific Areas, Roles, or Teams, or send it to everyone
  4. Engage with your Team
    • Team members can like and comment on broadcasts to acknowledge updates and keep communication flowing

Communication: Chat

Stay connected with your team in real time.

  1. Message individuals or groups
    • Chat lets you send direct messages to teammates or communicate with groups to keep everyone aligned throughout the day
  2. Comment or Like Recognitions
    • Employees can be sent Recognitions that appear in the Team Feed. You can like and comment on these to love on your team!
  3. View upcoming special events
    • Upcoming employee birthdays and work anniversaries are viewable in the Team Feed
