Sync With Payroll (Update Employees)

When you edit, add or terminate employees in HR Payroll, the data will be automatically updated in Ecolab KitchenIQ™ after syncing! This eliminates the need to manually add or delete each user. You can re-sync with HR Payroll through Employees or Admin

To sync with HR Payroll via Employees, you must have the "Invite New Users" permission. This will allow you to send user invites and refresh users from payroll. For more information on different role permissions visit Edit Role Permissions

Updating HR Payroll via Employees (Mobile)

  1. From the Menu, tap Employees
  2. Tap the 3 dots in the top right corner
  3. Tap Invite from Payroll
  4. Tap Sync with Payroll
    • You are now up to date with HR Payroll data!

Updating HR Payroll via Admin (Mobile)

To sync with HR Payroll via Admin, you must have the "Invite New Users" and "Manage Admin Settings" permissions. This will allow you to send user invites and refresh users from payroll, as well as have access to roles & users. For more information on different role permissions visit Edit Role Permissions

  2. Tap Roles & Users
  3. Tap Users
  4. Tap the + sign in the top right corner
  5. Tap Invite from Payroll
  6. Tap Sync with Payroll
    • You are now up to date with HR Payroll data!

If there are issues with syncing any employees from HR Payroll, you will receive an error screen showing the employees and why they were not synced. These can include an employee having the same email as another employee or an employee does not have an email listed in your payroll system


Updating HR Payroll via Portal

To sync with HR Payroll via Admin, you must have the "Invite New Users" and "Manage Admin Settings" permissions. This will allow you to send user invites and refresh users from payroll, as well as have access to roles & users. For more information on different role permissions visit Edit Role Permissions.

  1. Navigate to the Ecolab KitchenIQ™ website
  2. Click on Roles & Users, then Users in the left side menu
  3. Click Add User
  4. Click Invite from HR Payroll
  5. Click Sync with HR Payroll
