Edit, Duplicate, Remove, or Delete Questions on Mobile

Manage and update reusable questions on mobile to keep checklists accurate and up to date.

To edit, duplicate, delete, or remove a question from all checklists, you must have the "Manage Checklist Templates" permission. For more information on different role permissions visit Edit Role Permissions

Edit a Question

Editing a question in the mobile app allows users to update question title, subtitle, answer configuration, compliance rules, follow‑ups, and attachments. Editing is restricted based on question ownership.

  1. From the Menu, tap Checklists
  2. Select the Checklist you want to edit questions in
  3. Select the Questions tab
  4. Select the question you want to edit
    • You can only edit Location-level questions. You cannot edit Organization-level questions.
    • If the question you want to edit is not present in the checklist you are viewing, tap Add Question, then locate the question in the repository. Tap the arrow to the right of the question to edit it. 
  5. Make updates as needed
    • Answer type cannot be changed once the question has been answered in a checklist submission
  6. Tap Save
  7. Confirm you want to save the question and push the changes to future checklists the question is used in, or choose to create a duplicate of the question with the changes you made
Changes apply only to future checklist usage and do not affect historical responses. 

Duplicate a Question

Duplicating a question creates a new, editable copy that can be customized without affecting the original question.

  1. From the Menu, tap Checklists
  2. Select the Checklist that contains the question you want to duplicate
  3. Select the Questions tab
  4. Select the question you want to duplicate
    • When a location duplicates an organization‑owned question, a new location‑owned version of the question is created.
    • If the question you want to duplicate is not present in the checklist you are viewing, tap Add Question, then locate the question in the repository. Tap the arrow to the right of the question to get to the question editing window.
  5. Tap the 3 dots in the top right corner
  6. Tap Duplicate Question
  7. Type a Title for your new question
  8. Tap Duplicate
    • You will automatically be redirected to the new question. Customize it as desired, then tap Save
    • The original question will remain unchanged

Once saved, the question becomes available in the Question Repository for use in checklists.

Remove a Question from a Singular Checklist

  1. From the Menu, tap Checklists
  2. Select a Checklist that contains the question you want to remove
  3. Tap the pencil icon to edit
    • You can only edit location-level checklists. The pencil icon will not be present on Organization level checklists.
  4. Swipe left on a question you want to remove
  5. Tap the red - icon
    • The question will be removed from the checklist

Remove a Question from All Checklists

Removing a question from all checklists removes it everywhere it is currently used. This action is restricted based on question ownership.

  1. From the Menu, tap Checklists
  2. Select a Checklist that contains the question you want to remove from all checklists
  3. Select the Questions tab
  4. Select the question you want to remove from all checklists
    • If the question you want to remove from all checklists is not present in the checklist you are viewing, tap Add Question, then locate the question in the repository. Tap the arrow to the right of the question to get to the question editing window.
  5. Tap the 3 dots in the top right corner
  6. Tap Remove from all Checklists
    • If a location is using an organization-level question in a local checklist, they will not have the option to remove it from all checklists, as locations cannot edit organization-level checklists. All questions created by the organization must be removed from location-level checklists individually. See Remove a Question from a Singular Checklist above.
  7. Confirm Removal
    • The question will be removed from all checklists it is currently used in. 
    • The Remove from all Checklists button will now be replaced with a Delete button.

Delete a Question

Deleting a question permanently removes it from the Question Repository without affecting historical checklist submission data.

  1. From the Menu, tap Checklists
  2. Select a Checklist that contains the question you want to delete
  3. Select the pencil icon to edit the checklist
  4. Select the question you want to delete
    • If the question you want to delete is not present in the checklist you are viewing, tap Add Question, then locate the question in the repository. Tap the arrow to the right of the question to get to the question editing window.
  5. Tap the 3 dots in the top right corner
    • A Question can only be deleted if has been removed from all checklists or is present in only one checklist. If the question is included in multiple checklists, you must tap Remove from all Checklists first. Then, tap the 3 dots again to see the Delete option.
  6. Tap Delete
  7. Confirm Deletion
    • Deleted questions cannot be recovered. 
    • Completed checklist submissions retain their responses. 
    • Organization‑owned questions cannot be deleted by location users.
